SampleAudit note

What an audit note looks like.

This one is for a made-up online shop. The business and every fact in it are invented, so you can see the format before you ask for your own. A real note is about this long.

Audit note

Sample Homeware Co.

Online shop · 6 people · Shopify, Google Workspace, Meta and Google ads

What you told us

Customer email piles up at weekends, product pages are thin, and we're not sure which ads pay back. Six of us. Shopify, Google Workspace, Meta and Google ads, Klaviyo for email.

What we looked at

  • The shop, from the home page to the checkout
  • The ads it runs, in Meta's Ad Library and Google's Ads Transparency Centre
  • Which tracking tags load on the pages we could reach
  • How the shop shows up in Google and in ChatGPT for five product searches
  • The contact form and the help pages

What we found

  1. Google Ads conversion tracking doesn't load on the basket or checkout pages we could reach, so Google may be counting clicks rather than sales. Worth checking before anything else in the ads.
  2. About two in five product pages have fewer than 50 words, and none of them answer delivery or care questions, which are the questions the help page says come in most.
  3. The contact form sends everything to one inbox, with no sorting between orders, returns and wholesale enquiries.
  4. Twelve Meta ads are live, and most use the same photo. None mention delivery times.
  5. Asked for wool throws in the UK, ChatGPT names three other shops and not this one.

The first job we'd suggest

Sort customer email and draft replies to order, delivery and returns questions, inside your Google Workspace. A person reads and sends each reply.

Why this one first: it's the job you said hurts most, it runs on tools you already pay for, and it can be working on real email by the end of week one.

Estimated time saved

About 3 hours a week

How we got there: you said about 60 customer emails a week. If around 40 are routine and a draft saves 5 minutes on each, that's 200 minutes. We'll measure the real figure in week six and write it down next to this one.

Six-week plan

  1. Week 1Customer email sorted into orders, delivery, returns and everything else, with draft replies for the first three. A person reads and sends each one.
  2. Week 2Tracking checked end to end, so Shopify, Google Analytics, Meta and Google roughly agree on sales.
  3. Week 3Product pages rewritten a batch at a time, starting with the 20 best sellers, each one approved before it goes live.
  4. Week 4Wholesale enquiries from the form logged in a sheet with a follow-up date.
  5. Week 5Your team builds a daily check that flags an ad costing more than it earns, with us watching.
  6. Week 6Review: what runs, the hours it saves against this estimate, and what's next.

What we can't promise

  • Tracking won't match Shopify's numbers exactly, because of cookie consent and iPhone privacy settings. The aim is that the four sources roughly agree.
  • Drafted replies need a person to check them for the first few weeks, and some always will.
  • We haven't seen your ad accounts yet, so nothing here says whether the ads themselves are set up well.

What we'd need from you

Whoever answers customer email, for two 90-minute sessions a week. Staff access on Shopify and partner access on Meta and Google. No passwords.

Software to buy

None. Everything above runs on your Google Workspace plan, which now includes Gemini, and on Shopify.

Price

Your note gives one weekly price here and the total for the six weeks. It's left out of this sample.

Written by the person who'd run your sessions. Yours to keep, whatever you decide.
