Lettings and estate agents

AI for letting agents, estate agents and property managers

Agencies win on speed: the first agent to reply books the viewing. These are the jobs letting and estate agents ask to hand to AI first, and what we'd set up for each.

What should changeLeads answered while they're still looking, repairs tracked from the first message, and far less rekeying.

§01The jobs

Where the hours go in a letting or estate agency.

  1. 01

Portal leads arrive faster than anyone can qualify them.

Rightmove and Zoopla emails pile up, and slow replies lose tenants and vendors to the agent down the road.

What we set upEach lead answered in draft, sent a short qualifying form, and logged in your CRM with a viewing or valuation slot offered.

  2. 02

Maintenance requests arrive every way at once.

WhatsApps, emails and calls, with photos in one place and the address in another.

What we set upEach request logged with a reference, sorted by urgency, sent to the right contractor, and the tenant kept updated.

  3. 03

    Paperwork is rekeyed between systems.

A new instruction or let means typing the same names, address and fee into the CRM, the agreement and the referencing site.

What we set upDetails entered once in your CRM and carried into the agreement, referencing and tenancy documents for a person to send.

  4. 04

Complaints are longer and sharper than they used to be.

Tenants now write them with AI, and each needs a careful, accurate answer.

What we set upDraft replies that check the facts against the tenancy and your records before a person sends them.

§02Six-week plan

What six weeks could look like.

An illustration, not a client story. Your plan comes out of your audit.

Example plan

A letting agency managing 300 homes, 14 people

Where they startPortal enquiries pile up over the weekend, repairs arrive by WhatsApp, text and email, and every new let means typing the same details into four places.

What should changeViewings booked while applicants are still looking, and no repair lost between inboxes.

Runs in their CRM, shared inbox and Google Workspace.

  1. Week 1

Rightmove and Zoopla enquiries answered in draft with viewing slots, and logged against the property.

  2. Week 2

Repair requests logged with a reference, sorted by urgency and sent to the right contractor, with the tenant kept updated.

  3. Week 3

Details from a new let carried from the CRM into the referencing request and tenancy agreement, for a person to check and send.

  4. Weeks 4 to 6

A weekly report on voids, arrears and open repairs. In week five the team builds the end-of-tenancy checklist themselves.

§03What it's worth

Work it out on your own numbers.

Pick a job, move the sliders to match your team, and change our assumption if you think it's lower.

Work it out for your business

Worth to you, every year

Your numbers and an assumption you can see. Your audit note checks them against how your business actually works, and week six measures what really happened.

§04How a week works

A Build Week, start to finish.

Every week follows the same pattern, so you always know what happens next.

  1. Week before

    We rehearse

We run every step ourselves on our own test accounts, so we already know where it snags. You get a short checklist for adding us as a user. You never share passwords.

  2. Monday

    Session one

Whoever does the work builds it on their own screen, in your accounts, while we guide them. About 90 minutes on Teams, Meet or Zoom.

  3. Tue to Wed

    Between sessions

We fix anything that came up and prepare the next piece, down to the exact text to paste.

  4. Thursday

    Session two

Another 90 minutes. The next piece gets built, and we check the first one still runs.

  5. Friday

    The note

One page on what changed and what now runs by itself. The invoice for the week comes with it.

§05Questions

What letting and estate agents ask first.

Does it work with our CRM and the portals?

Portal leads usually arrive by email, which is easy to read. Most agency CRMs can export or connect through an API. The audit note says what's possible with yours.

Can AI answer tenants about repairs?

It can log the request, ask for photos and the address, and keep the tenant updated. Decisions about the repair stay with your team.

§06Free audit

Start with a free audit.

Tell us what your team does by hand and where to look. Within three working days you'll get a one-page note: the first job we'd suggest, an estimate of the hours it would save each week, a six-week plan and the weekly price. If we need longer, we'll email to say so.

We can't see your inbox or spreadsheets from the outside, so this is what makes the estimate honest. Name the systems it goes through if you can, such as Outlook, Xero, HubSpot or Shopify.

We use your details to reply, and for nothing else. No mailing list.

  1. 1

We read what you've told us, then look at your site, your ads and how enquiries reach you. If we need more, we email. A call is optional.

  2. 2

You get the note by email, written by the person who'd run your sessions. It's yours to keep.

  3. 3

If you go ahead, we agree a start date and rehearse the week before.
